Dues and your Association Management System

Dues collection is a bittersweet experience. On one hand, membership dues are often the backbone of an association’s budget. On the other hand, collecting dues can be a pain like no other. You Association Management System should have an easy-to-use process in place to make the whole process easier.

E-mail reminders

Wouldn’t it be nice if the IRS sent out E-mails to remind you to pay your taxes? NO. No, that would not be nice, because we start hearing about “tax time” on January 1. Can you imagine that nationwide hype about your members’ dues renewal? Fortunately (or unfortunately) they are not inundated with ads to renew, and paying for annual membership requires much less paperwork and time.  Your AMS should have easy E-mail templates in place to make those reminder E-mails a breeze to send so your members know when to renew.

 

Automatic Renewals

Several associations have set up “automatic renewals” to cut out even more clicks. It’s a blessing and a curse, because it takes care of the members who get so buried in their lives and work that dues renewal is the last thing on their mind, but members can sometimes find it cumbersome to unsubscribe. Depending on the association, though, it could be a great option. If automatic renewals are a good option for your association, contact your AMS provider to see how to get them set up.

 

Payment processing partnership (say that three times fast!)

The days of mailing checks and paying cash into a lock box are over. These days, if you want dues renewal done easily, you must have a payment processor that works well with your Association Management Software.

 

Clear reports

You’ll need to keep track of your membership and payment status. Your AMS should have clear, intuitive reporting that allows you to easily access the reports you need to make decisions regarding budget and membership.

 

Easy information updating

Annual dues renewal is a great time for your members to update their information in your membership database. Your Association Management Software should make that a snap so the information can be as up-to-date as possible and you can accurately get in touch and know the status of your members.

 

Deadlines and status changes

If your deadline for membership dues lapses and a few members still haven’t paid, your AMS should automatically update member statuses and restrict access to what they can see.

 

The bottom line here is that dues can be tough to manage sometimes, but your Association Management System should make it easier.
