So you’ve pondered the idea of purchasing a membership management system. I mean, it would make your job a LOT easier. But you’ve made it this far without one...do you really need to pull the trigger now?

Well, there are a few telltale signs that would lead you to “yes.” In fact, it may be time for a membership management system if…

1. You can’t find the information you need when you need it.

As an association or chamber professional, you have a lot of data on your hands - your members’ contact information, join and expiration dates, current and former committee heads, etc. But can you pull that information if and when you need to? And if you can pull it, is it up to date? If not, that’s your first sign that you may need some software assistance. After all, how you use that data plays a BIG role in how well you’re able to engage your membership.

2. Your members complain that simple tasks are actually quite difficult to do.

This one’s a biggie because it directly impacts your members. Do you ever hear members complain about seemingly small tasks? For example, registering for an event or paying for membership dues online? If so, it’s crucial that these issues get resolved ASAP - with or without software. Unhappy members are likely to leave, and that’s the last thing you want at your growing association or chamber.

3. You want to explore different membership models, but the thought of implementation seems downright impossible.

Let’s say your organization is growing, but in order to keep growing, you’d like to introduce a few new membership models. For example, maybe in addition to a basic membership, you’d like to offer a student membership and an elite membership. But managing one membership type is hard enough. Throw in two more, and you could easily be in WAY over your head. This type of dilemma is preventing your organization from growth, and it’s a sign that a membership management system may need to be the next step.

4. You’re making too many mistakes...and your members are starting to notice.

Mistakes happen, with or without software. That said, software tends to help reduce human error. Are you in so over your head that you keep making little mistakes? Are you promoting an event to people who’ve already registered or sending dues renewal reminder emails to members who’ve already renewed? Mistakes like these, from time to time, are ok. They’re natural, even! But make too many mistakes and your members will start to notice...and may even become a little concerned/frustrated.
